From a Tax Filing to a Hotel Worth Calling

Every lead in Hotel Trace starts with a public record: the room revenue a hotel reports to the state. Here’s each step from that filing to a phone call, on sample screens.

The filings

What Texas Hotels Report to the State

Texas hotels collect a tax on room stays and report their room revenue to the state each month or each quarter. By state law, what they report is public information.

We read those filings for each hotel in the metros we cover, going back years. Monthly filings arrive about a month after the month ends, and the full quarterly file follows a couple of months after each quarter closes.

Revenue per room is worked out from these filings, not read off the hotel’s books.

The comparison

How Each Hotel Is Measured Against Its Peers

Revenue per available room, or RevPAR, is the number most hotel people watch: room revenue spread across every room the hotel has, every night. We work it out from what each hotel reports, then measure it against hotels of the same class and size nearby.

So a full-service hotel isn’t measured against the motel next door, and a downtown hotel isn’t measured against a highway exit an hour away. Short-term rentals, apartments, and RV parks file the same tax, and they’re left out of the comparison. If there aren’t enough similar hotels close by, we look further out, and the record says so.

The warning signs

Signs a Hotel Is in Trouble

Each sign comes with a plain-English line on what it means.

  • Falling behind similar hotels nearby, quarter after quarter.
  • A sharp drop in revenue, caught in the monthly filings.
  • Still earning less per room than before the pandemic.
  • Stopped filing. That can mean closed or just late, and the record says whether the state has confirmed it.
  • Past-due property taxes, where the county publishes them.
  • Closed or empty. Those stay out of your list until you ask for them.

The owner

Who Owns It, and How to Reach Them

The name on a hotel’s tax filing is often an operating company or an LLC, so we go past it. Where the county publishes its property records, you get the owner named on the county’s property record and their mailing address. Where the state’s business records name them, you get the people behind the LLC.

When you’re ready to call, ask for a phone number and email. Where one is on file, it comes with any Do Not Call flag or litigation flag (a flag for people who have sued over calls) right beside the number, and a litigation flag turns off one-click dialing.

And when we can’t be sure a county record is really this hotel’s, we flag it rather than pass it off as fact. You can also pull up the owners who live outside the metro.

The limits

What the Numbers Can and Can’t Tell You

Revenue per available room here is worked out from what a hotel reports to the state, not read off its books. Room counts are self-reported too, so when one doesn’t add up, the record flags it. In Hotel Trace, click any figure to see the arithmetic behind it and where it came from.

What the numbers can tell you is which hotels are earning less than hotels like them, and for how long. What they can’t tell you is why. That’s the conversation.
